How they did it
From four disconnected tools to one Arabic-first ERP
The problem
Aletlala was running 50+ active projects on a stack that didn't talk: tender invitations buried in Outlook folders, BOQs revised in Excel sheets emailed back and forth, IPCs assembled in Word with screenshots of supplier invoices, and daily site updates posted to a WhatsApp group nobody owned. The PM team spent more time consolidating reports than running the projects. Tender deadlines slipped because version control on BOQs failed. IPCs took three weeks to compile because every line had to be cross-referenced against three different sources. Site engineers wrote Arabic daily reports on paper, then handed them to an office runner who re-typed them into English in Excel β losing the original context every time.
The solution
ORKSTRA was built around Aletlala's actual workflow, not a generic ERP template. Tender invitations land in the platform with attachments preserved. BOQ revisions are versioned and locked when a tender is submitted. Award flows directly into project setup β the same priced items become the project's baseline budget. Variation orders are raised against contract items with FIDIC-aligned signoff. IPCs auto-aggregate from approved progress, signed daily reports, and stored supplier invoices. Site engineers file Arabic daily reports from their phones via WhatsApp. AI invoice scanning pulls supplier invoices straight into the ledger with VAT and line-item match against the original PO. Nothing leaves the platform until it has to.
The result
Tender turnaround dropped from 10 days to 4. IPC cycle went from three weeks to four days. Reporting hours collapsed from 80 a month to 12. On the live mosque project (PRJ-2026-001 in Abu Dhabi), ORKSTRA surfaced six cost overruns before they hit the contract β collectively AED 1.2M flagged for variation orders instead of swallowed as losses. Site engineers file daily reports in Arabic from their phones; the office sees the data without re-typing. The PM team is back to running projects instead of consolidating spreadsheets.
